Preparing for the digitalisation journey: Which checks have you already performed before embarking in your digitalisation journey?

For a smooth and safe trip, it is important to prepare.

How you use data: How will you use data in your journey?

• We collect data in our tanks, ready to fuel our business when needed.
• We use data in on a daily basis, i.e., in our business operations.
• We use data to predict the future, i.e., to shape our business strategy and vision.

In 1800, industry was powered by coal. Today, data is even more important than an energy source and is a key component of any digitalisation journey.

How you protect data: Which measures do you have in place to protect your data?

• Safety belts: ON – We protect our data and computers (e.g., we have copies of our data).
• Keeping the security distance – We train our staff on how to behave safely (e.g., change the passwords regularly).
• Airbags: ON - Cyber-emergency? System crash? Data loss? No worries, we have a recovery plan.

Data needs to be used, but also protected. Protection is not only about safety belts, but also people’s behaviour and emergency protocols.

Digital Technologies: How do you use digital technologies in your organisation?

• We communicate with customers (e.g., website, social media…).
• We calculate (e.g., invoicing, inventory management…).
• We collaborate with other sites or other companies.
• We automate repetitive or dangerous tasks.
• We design new products/services.
• We predict our future decisions and actions.

Digital technologies are like vehicles. Some vehicles, like cars, bring people around, others, like trucks, carry goods. Similarly, different digital technologies serve different purposes.

People steering the Digital Wheel: What kind of drivers do you have in your organisation?

• Some are confident drivers (i.e. confident with any IT device), while some just have got their licence, struggling to use anything but the simplest technologies.
• Everybody is confident in driving (i.e. confident with any IT device), and we have some professional drivers who can use digital tech in the best way.

If digital technologies are like vehicles, people are the drivers using such vehicles to reach their destinations. Many people have a driving licence and drive their car to work. Other people are however professional drivers, such as coach and truck drivers, and others are mechanics, who know how to maintain vehicles. Similarly, we can use our computers every day at work, while, for some tasks, IT professionals are needed.

Ensuring everyone is on board: How do you support your staff in learning how to use digital technologies?

• The test drive: We checked if and how much our staff is confident with digital technologies.
• Learning with someone: More experienced and digitally savvy staff train the other colleagues, e.g.job learning.
• Driving lessons: We organise training courses for the staff.

Like vehicles, digital technologies enable people to reach their destinations. Yet, knowing how to drive these vehicles is key to a successful digitalisation journey.

Digital Technologies to go green: How is your organisation ensuring a sustainable digital journey?

• We reduce resource consumption like the use of paper, the waste of raw materials.
• We optimize our business processes, for instance: our energy consumption, our production times, the delivery schedules.
• We predict our future demand and needs to avoid surpluses.
